Office Assistant

Job Summary

Office assistant duties and responsibilities include providing administrative and sales assistant support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Familiar with a variety of the field's concepts, practices, and procedures. Rely on experience and judgment to plan and accomplish goals, and a wide degree of creativity and latitude is expected. Reports to a manager / CEO.



Responsibilities: 

Sales Support Duties

  • Assist the sales team with daily operations, including preparing quotes, sales contracts, and order processing

  • Maintain accurate sales records and customer databases, and complete sales reports.

  • Coordinate sales meetings, prepare agendas, and distribute meeting minutes

  • Follow up with clients on outstanding payments and provide product information inquiries

  • Support sales campaigns by preparing marketing materials and tracking campaign performance

  • Generate weekly/monthly sales reports and analyze key performance indicators (KPIs)

  • Input and compile customer information.


Administrative Responsibilities

  • Manage office correspondence, including emails, calls, and mail distribution

  • Support recruitment activities.

  • Manage procurement of office supplies and inventory control.

  • Maintain cleanliness in office areas and upkeep of office equipment/facilities.

  • Organize and file documents (both physical and digital) in an efficient retrieval system

  • Assist with basic accounting tasks, such as processing invoices and expense reports

  • Coordinate interdepartmental communication to ensure smooth workflow

  • Assist superiors with other assigned tasks.


Skills & Qualifications

  • Proven experience as a sales or administrative assistant (3 years above preferred)

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and computing in accounting.

  • Excellent verbal and written communication skills in English

  • Strong organizational and multitasking abilities with attention to detail

  • Ability to work independently and collaboratively in a fast-paced environment
