Personal Assistant
About the job
Our client, who provides freight forwarding & logistics services, requires an experienced Personal Assistant to join their team. Reporting to the Managing Director, you will primarily be responsible for managing daily administrative operations and providing comprehensive support to the Managing Director.
Responsibilities
Manage the Managing Director’s calendar, schedule appointments, and coordinate meetings.
Act as the primary point of contact between the Managing Director and internal or external stakeholders and ensure all communications are handled professionally.
Prepare meeting agendas, take minutes, and ensure timely follow-up on action points.
Handle correspondence, draft letters, reports, and other documentation with accuracy and professionalism.
Maintain and organize filing systems (both electronic and physical) for easy retrieval of information.
Arrange travel, accommodation, and logistics for business trips.
Screen and direct phone calls, emails, and other communications appropriately.
Safeguard sensitive company information and maintain confidentiality at all times.
Provide general administrative support to ensure smooth office operations.
Requirements
Must have at least a Diploma in Business Administration, Management, or a related field.
Must have at least three (3) years of relevant experience in the logistics industry or a similar field.
Must possess strong organizational and multitasking abilities.
Must possess excellent written and verbal communication skills.
Ability to pay attention to detail and adapt to changing priorities.
Ability to handle sensitive information with discretion and professionalism.
Possess strong interpersonal and collaboration skills.
Possess problem-solving skills and the ability to work in a fast-paced environment.
Must be proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Desired Skills and Experience
Must have at least a Bachelor's degree in Accounting, Supply Chain Management, Logistics, or a related field.
Must have at least five (5) years of working experience in Logistics, Supply Chain Management, Accounting, or a related field.
Must have proven experience in both Accounting and Supply Chain Management.
Possess strong organizational skills and analytical abilities.
Possess excellent communication (verbal and written) skills.
Must possess strong people management skills and leadership skills.
Experience in financial management and managing budgets.
Must possess excellent communication skills ( written and oral). Proficient with Microsoft Office Suite (Word, Excel, and PowerPoint).
