Administrative Secretary

Job Summary

A new Aviation School is seeking to recruit an Administrative Secretary for the school through a range of organizational and communication-related duties to support the school administration, lecturers, students and external agencies. This position requires an organized, proactive and detail-oriented individual who can handle multiple tasks and maintain smooth operations for the school.

  • Minimum Qualification : Degree

  • Experience Level : Entry level

  • Experience Length : 2 years


Job Description/Requirements

Responsibilities:

  • Act as the school’s initial point of contact, receive and route phone calls, handle emails and respond to inquiries in a timely manner.

  • Monitor email correspondence, flag necessary correspondences for attention and action.

  • Assist in the admission process of new students.

  • Communications & Liaison with Organising and servicing internal meetings.

  • Prepare and distribute correspondence, memos, and other communications to school’s stakeholders (school administration, lecturers, students and external agencies).

  • Data entry and management of School organizational systems.

  • Maintain documents, correspondences and paperwork for reference.

  • Review and maintain the filing systems of the school ensuring all documentation is current and accessible.

  • Perform general office duties

  • Manage office supplies, track inventory and place orders for the school when necessary.

  • Any other assigned tasks.


 

Requirements:

  • A Bachelor’s Degree in Business Administration / HND Secretaryship and Management Studies or a related field.

  • Minimum of 2-3 years proven experience in a similar role.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent written and verbal communication skills.

  • Excellent organizational and time management skills.

  • Ability to multitask and prioritize workload effectively.

  • Attention to detail and a high degree of accuracy in performing administrative tasks.

  • Attention to detail and problem-solving skills.

  • Ability to work independently and collaboratively as part of a team.

  • Customer service experience.
